In addition, a Breakfast Poster Session will be held in the poster are within the exhibition from 07:45 – 08:45 on Tuesday 11 September. All exhibitors are welcome to join this session.
REGISTRATION FOR EXHIBITION PARTICIPANTS
All sponsors and exhibitors have been emailed detailed instructions on how to register their representatives for the conference. If you haven’t received this email or are having any difficulties, please contact katie@icebergevents.com.au.
All sponsor and exhibitor registrations should be entered into the system by Friday 15 August 2025.
VENUE INFORMATION
The 25OPCC exhibition will be held in Great Hall 3&4 on the foyer level of the Brisbane Convention & Exhibition Centre. Best access is via the Merivale St entry.
PARKING AT BCEC
The BCEC have multiple carparks available, for up to 1,500 vehicles. Discounted parking rates are available for exhibitors for $18 per day. A QR code will be sent out closer to the conference.

Booth Set Up
All exhibitors will have access to their booth from 15:00 on Tuesday 9 September for set up. All booths must be completed by 18:00 on Tuesday 9 September as the space will be closed after this time.
Booth Pack Down
All exhibitors can start packing down after lunch at 13:30 on Friday.
All booths must be vacated by 14:30 as they will be dismantled by the exhibition supplier following this time.
Expo Event Services (EES) are the appointed exhibition supplier and look forward to meeting your booth and equipment needs.

Exhibition Booths include:
Power – 1 x single 4-amp power outlet per stand
Lighting – track lighting on booth frame
Signage – large sign at rear of booth
Furniture – 1 x high round table, 2 x stools (unless otherwise arranged with Expo Event Services)
Booths are 3m wide x 2m deep and designed in a more open style to encourage connection. Booths are configured in doubles with a back wall and a side wall, and a shared dividing counter.

Lighting – track lighting on booth frame
Signage – large sign on central pillar
Furniture – 1 x high round table, 2 x stools (unless otherwise arranged with Expo Event Services)

DELIVERY INFORMATION – PRE-CONFERENCE
Due to limited storage space, BCEC will not accept any deliveries of exhibition materials prior to 7am on Tuesday 9 September. A member of the Iceberg Events team will be onsite to accept deliveries prior to exhibitor bump-in time.
Delivery address is below. Please ensure all items are labelled with your booth name, booth number, your contact details, and 25OPCC Exhibition.

COLLECTION INFORMATION – POST-CONFERENCE
Exhibitor goods must be collected at the time of move out. The loading dock will be open from 15:00 – 20:30 on Friday 12 September for collection of exhibitor goods. All goods to be collected must be accompanied with a completed consignment note.
STAND CLEANING
Public areas, foyers and exhibition aisles are cleaned, and rubbish bins emptied daily by the BCEC’s cleaning staff. If you wish your individual stand to be cleaned, you must pre-book this service via the BCEC Exhibitor Portal.
DELEGATE NUMBERS
For merchandise ordering purposes, we expect around 1,600 attendees to the conference.
TEST AND TAG
All portable electrical equipment, appliances and leads used on the BCEC site must be tested and tagged in accordance with Australian Standard 3760 and WH&S Act 2011. Any electrical equipment found not tested will have to be tested immediately or removed from the Centre. For safety reasons, double adaptors are not to be used in the Centre.
SAFETY VESTS
All organisers, contractors and exhibitors and their staff must wear safety vests and closed-in shoes whilst on the loading dock, service road or in the Exhibition Hall during the construction, bump-in and bump-out of events.
Vehicle drivers and offsiders or passengers utilising the service road or dock areas who intend to exit their vehicle are required to wear a safety vest or approved hi-visibility clothing for safety purposes.
Safety vests can also be purchased from the vending machines located down the Exhibition Hall concourse for $10.00 each.

CONFERENCE APP / LEAD CAPTURE
All exhibitors will have access to our lead management system through the attendee app. The main contact for each sponsor (the nominated person on the sponsorship agreement form) will be able to log into the exhibitor portal and download a list of delegates scanned by the onsite team along with their contact details and answers to any questions if they have been prepared ahead of time.
All delegates will have a contact QR code on their name tag and app (under the contact QR code tab). As a way of exchanging details with the attendees, exhibitors can utilise the "Scan Leads" tab in the app to scan delegate QR codes.
