SPEAKER REGISTRATION

All accepted speakers are required to register for the symposium by Monday 17 March to confirm your position in the program. You have been emailed a personalised registration link within your acceptance email. Within this registration form, you will need to provide a headshot, and inform us of your AV requirements.

For any co-presenters who will be attending use the link below.

Failure to register as a speaker by the deadline may result in your presentation not being included in the symposium program. 

AUDIO VISUAL

Basic audio visual will be provided as follows:

  • Small stage with steps
  • Data projector and screen (16:9 ratio)
  • Lectern and microphone
  • Wireless clicker for advancing PowerPoint slides
  • Handheld wireless microphone

There will be an audio-visual technician in the room to assist with loading your presentation and any last-minute technical checks.

ORAL PRESENTATION

Oral presentations must be a maximum of 15 minutes, followed by a 2 - 5 minute Q & A session at the conclusion of your presentation/session.

Your videos are to be embedded in your slide rather than inputted as external links.

Note: PowerPoint Presentations are required in 16:9 (widescreen) format. Please feel free to contact Cherono should you require assistance with ensuring your presentation is in this format. 

Please submit your PPT Presentation to Cherono via email or WeTransfer for large files by Monday 12 May. If you choose to not submit your PPT by this date, you are responsible for bringing a copy on a USB to the symposium. 

FULL PAPER

If you are submitting a full paper, submit this to Cherono via email or WeTransfer for large files by Friday 4 April 2025.

Below are guidelines to assist with writing your paper, to ensure you follow the correct format. Full papers submitted in the incorrect format will be returned to the author.

POSTER PRESENTATIONS

If you have an accepted poster submission please adhere to the guidelines below. Posters will be allocated a dedicated space at the venue and will need to be positioned either before the Welcome Reception/Trade Exhibition on Monday 19 May or before the Symposium begins on Tuesday 20 May at 8:00 am. The Event Staff will be on site from 7:00 am.

Note optional: You have the option to submit a Full Paper, if you wish to do so please send a copy to cherono@icebergevents.com.au by Friday 4 April 2025.

Guidelines / Tips

  • Poster size: A0 (W 841mm x H 1189mm) - The layout will need to be portrait and arrive with your poster already printed and laminated.
  • It is recommended you hand-carry your poster to the symposium and are responsible for collecting your poster at the conclusion of sessions on Thursday 31 August. Please note any uncollected posters will be considered abandoned and disposed of accordingly.
  • We ask the designated poster presenter/s (author or co-author) must be present at the assigned space during the catering breaks to discuss the work presented
  • Include the abstract title, author, co-author names, and your organisation
  • Use high-resolution photographs. Images should be at least 150 DPI at their printed size, please allow for this when scaling images. Most images taken from the internet will be 72 DPI, which is too low for printing.
  • Generally, it is best to use only 2 – 3 fonts this will make your poster easier to read. Headings are best in a font such as Arial and body text in a font like Times New Roman. As a general rule if you were creating a poster in A0 size you might have a heading at 70pt and body text might be at 24pt to 36pt depending on the amount of body text you have.
  • Do not use Pantone Colours as these are spot colours that are not printable on many systems, in a worst case scenario Pantone colours will print as a blank white space. From a design perspective, it is best to limit the number of colours on your poster to 3 to 4 colours (excluding those used in graphs).

  • Adobe Photoshop (flatten and save as a JPG or TIFF)
  • Microsoft PowerPoint
  • Adobe Illustrator (save as EPS with any fonts in outline)
  • Adobe InDesign (PRINT to PDF - not export / save as)
  • Microsoft Word

Not Recommended

  • Microsoft Publisher
  • Microsoft Excel
  • Microsoft Visio

PRACTICAL DEMONSTRATION

The practical demonstrations will be taking place outside of the Gladstone Entertainment Convention Centre. You will be provided with a lapel mic, if you require any other audio-visual  requirements please contact Cherono from Iceberg Events. You have been allotted a time slot of 20 minutes for your presentation. 

The symposium organisers require an outline of your Practical Demonstration by Monday 28 April. The Organising Committee reserves the right to modify your practical demonstration if it is not suitable for the venue at the Gladstone Entertainment Centre.

Tips for planning your practical demonstration:

  • Remember safety for yourself and the audience is a key factor!
  • Plan your demonstration to ensure you stick to the allotted time

SPEED PRESENTATION

Speed Presentations are to be 3 minutes long, there will be a session chair keeping time on the day. 

Note:

  • You have the option to provide a hard-copy poster 
  • You have the option to submit a Full Paper, if you wish to do so please send a copy to cherono@icebergevents.com.au by Friday 4 April 2025.


TIPS FOR CREATING YOUR POWERPOINT

Body Text:

  • Use a font that is easy to read. Arial, Verdana, or Calibri tend to be the easiest to read on screens
  • Font should be no smaller than 18pt. Align text left. Centered text is harder to read
  • Write in point form, not complete sentences
  • Include 4-5 bullet points per slide
  • Avoid wordiness and clutter: A headline, a few bullet points, maybe an image – anything more than that and you risk losing your audience

Headings:

  • Heading font should be bigger than your body text

Colour:

  • Put dark text on a white background. This is easiest to read. If you must use a dark background – for instance, if your company uses a standard template with a dark background – make sure your text is quite light (white, cream, or light grey) and increase the font size

Images, Charts and Diagrams:

  • A chart, diagram or image can often convey much more to your audience than text
  • Don’t use low resolutions images as these can appear blurry on the screen

Slide Timing:

  • Use 1-2 slides per minute of your presentation

PRESENTER TERMS & CONDITIONS

  • Accepted presenters (and co-presenters) must register and pay for the Symposium by the date indicated by the event organisers or their presentation will be removed from the program.
  • Accepted presentations may be made available to delegates.
  • Oral presentations are highly encouraged to provide a full paper (scientific or operational description) for inclusion in the Proceedings. Poster and practical presenters have an option to prepare a full paper (optional).
  • Presentation slides are requested in advance, but not enforced - speakers can provide them on the day to the AV desk.
  • Presentation slides (in PDF format) may be shared with Symposium attendees online after the event, subject to author consent.
