EXHIBITOR GUIDELINES

Thank you for sponsoring and exhibiting at the upcoming IHEA Conference to be held on 3 - 5 June at Marvel Stadium, Docklands.

The below outlines important information about your exhibition booth and attending the conference.

REGISTRATION

If you haven’t already done so, please register your complimentary attendee/s or extra exhibitor staff for the conference. 

Complimentary Sponsor Registrations
Complimentary registration includes attendance at the Trade Night, Conference Sessions and Conference Dinner.

Extra Exhibitor Staff
Extra Exhibitor Staff Registrations includes access to the exhibition area, name badge, catering breaks during the Conference and the Welcome Reception/Trade Night. The Extra Exhibitor Registration DOES NOT INCLUDE attendance to the Conference Dinner. Additional dinner tickets can be purchased through the registration form.

EXHIBITION – EXPO EVENT SERVICES

Expo Event Services have been appointed as the official supplier for the exhibition and look forward to meeting your booth equipment and furniture needs. 

3m x 2m Shell Scheme Package inclusive of:

Walling: 2.5m high smooth finish wall panels within white Octanorm aluminium framing.
Fascia sign: Standard fascia sign (2950mmW x 215mmH) with single colour company name text on a white background. A fascia sign will be installed over each open side of the booth.
Lighting: 1 x LED 3 bar arm light
Power: 1 x 4amp power point (240v/1000w)
Flooring: existing venue carpet
To ensure the shell scheme system is not damaged – please DO NOT adhere stickers or tape to booth,  laminated graphic wall panels or fabric wall panels . It is OK TO USE Blue Tacand 3m removable picture hanging strips. Under NO circumstances should exhibitors nail or screw any article or display item to the booth walls.
Furniture: There is no furniture provided in your booth. To book additional furniture, please contact Expo Event Services.
Electrical Test and Tag: All electrical equipment entering the exhibition must display up to date testing and tagging in accordance with the relevant Australian/New Zealand standards. 

Anything outside of the above specifications is to be arranged at the exhibitors own expense.

EXHIBITION - BUMP-IN & BUMP-OUT

Booth Set Up

All exhibitors will have access to their booth from 1.00pm on Monday 3 June for set up. 

All booths must be completed and all rubbish removed by 5.00pm on Monday in time for arrival of delegates to the Welcome Reception & Trade Night occurring in the exhibition space from 5.30pm that evening.  

Booth Pack Down

All exhibitors will be able to pack down their booth at the conclusion of lunch at 1.30pm on Wednesday 5 June 2024.

All booths must be vacated by 2.30pm as they will be dismantled by the exhibition supplier following this time.

EXHIBITION - DELIVERY INFORMATION

Marvel Stadium will accept deliveries from Friday 31 May. No items will be accepted prior to this time.

All deliveries are to be sent to:

Venue Set Up Office via Service Entry

740 Bourke Street (20 meters past the car park entry under Quest Apartments) Docklands Vic 3008

All equipment MUST be taken through the Service Entry with the Marvel Stadium delivery docket. Please ensure this is attached to all items being delivered.

Deliveries of larger items, directly to the room will require access via the Marvel Stadium internal ring road and goods lifts. It will be necessary for exhibitors/contractors and/or appointed carriers to book a move in and move out time with Iceberg Events. A vehicle access form from exhibitors will be required. Please email katie@icebergevents.com.au to arrange access via the internal ring road.

SATCHEL INSERT DELIVERY

If you have paid for an additional satchel insert as part of your sponsorship, you will be contacted separately about the quantity of these items. 

Please use the satchel delivery docket linked here for all satchel insert items. 

Note that all satchel insert items must be delivered to the venue by Friday 31 May to be included in satchels. 

Collection
If you wish to courier any items after the conference, each item must be packaged up and must have a signed consignment note attached for your courier company. Note: the venue and/or organisers will not sign consignment notes on your behalf, therefore these must be completed prior to your departure from the venue. All couriers must be arranged by the exhibitor and at the exhibitor’s expense. Please arrange for your courier to collect items either from 1:30pm on Wednesday 5 June or from 9:00am on Thursday 6 June.

Deliveries will be held for a maximum of 5 business days before being disposed of.

FORKLIFTING SERVICES

There will be a forklift available onsite during bump in and bump out. Bookings for forklifting services must be pre-arranged by emailing katie@icebergevents.com.au.

EXHIBITOR PRIZE DRAW

A great way to encourage delegates to visit your booth and to collect contact information is to run a prize draw from your booth. Please be aware that many delegates no longer carry business cards, so consider another method of capturing details (eg. QR to Google Form).

If you wish to organise and run your own prize draw please email the details of your draw and prize(s) to mika@icebergevents.com.au so that the details can be included in announcements at the conference. Prizes will be drawn in the final session on Wednesday 5 June.

LEAD CAPTURE APP

All exhibitors will have access to our lead management system through the attendee app. Download details will be emailed out to all attendees. 

All delegates will have a contact QR code on their name tag and app (under the contact QR code tab). As a way of exchanging details with the attendees, exhibitors can utilise the "Scan Leads" tab in the app to scan delegate QR codes.

From here, all your leads will be automatically stored in the exhibition portal. At the conclusion of the event, Iceberg Events will email you your leads report.

EXHIBITOR PASSPORT

Please make sure you are scanning all delegates that visit your booth as points are awarded for each scanned visit. There will be a prize given to the delegate with the most points.
